VIB-UAntwerp Center for Molecular Neurology, is looking for a highly organized and confident personal assistant. You will be the right hand of both Prof. Rosa Rademakers, director, and Prof. Renzo Mancuso, deputy director. In this role, you will become the backbone of daily operations. Without you, we will feel lost.
This is not a typical assistant role. There’s no predefined roadmap—you’ll shape the position yourself, taking charge of processes, streamlining workflows, and making independent decisions. To succeed, you should:
- Be highly independent and take initiative in organizing and optimizing the workload.
- Have the skills and confidence to act as a gatekeeper, handling a high volume of inquiries and filtering what requires attention.
- Be decisive and able to make informed decisions on behalf of the director and deputy director regarding scheduling and commitments.
- Develop a deep understanding of their working style and priorities—anticipating needs and thinking one step ahead.

Position
- Independently manage and coordinate the calendar, scheduling appointments and meetings while prioritizing key commitments.
- Oversee and organize the email inbox, filtering inquiries, ensuring timely follow-ups, and handling correspondence when appropriate.
- Draft, prepare, and send professional correspondence on behalf of the director and deputy director.
- Take ownership of delegated projects and tasks, ensuring efficient execution and follow-up.
- Organize and coordinate travel arrangements for the director and the deputy director
- Provide high-level administrative and secretarial support
- Assist in planning, coordinating, and executing events, both internal and external.
Work as part of the administrative team, offering support as needed, including serving as a back-up for the reception desk.
Profile
- You are a dynamic and highly organized professional with excellent communication skills.
- You have a Bachelor’s or Master’s degree in Biomedical Sciences or an administrative background with a strong interest in biomedical or neurological research.
- You thrive in a fast-paced environment, managing multiple tasks simultaneously with an administrative focus.
- You have at least a couple of years of experience in a similar position
- You are proactive, confident in making decisions, and comfortable handling responsibilities independently.
- You have a positive, energetic personality and a flexible mindset.
- You remain calm and efficient under pressure, meeting deadlines and handling stressful situations with ease.
- You are proficient in Microsoft Office and other relevant administrative tools.
- You are fluent in English and Dutch (both written and spoken) to effectively communicate in an international research environment.
- You are well-organized, structured, and highly discreet when handling sensitive information.
- You are a team player who is eager to learn and grow in the role.
- A scientific background is considered a big plus
